April 21st, 2009
To our mailbox subscribers:
Good news! We are finally ready to receive mail service at our new cluster mailbox installation located at 11737 Rancho Heights Road. We apologize for the delay, but unforeseen circumstances prevented us from utilizing the original location. The new site is now fully approved by all parties concerned.
To receive mail at your new box, we request that you:
1.
Go to the Pauma Valley Post Office on or after Tuesday, April 28th, 2009. (The address is: 16160 Highway 76, Pauma Valley, CA 92061. Telephone number is 760 742-3670. Hours: M-F 8:30 a.m. to 4:30 p.m.) At the post office you will be asked to fill out a form that requests a change of delivery point to your residential address. You will be required to show identification that includes your residential address-- your driver's license, for example. If your driver's license doesn't have your residential address (mine doesn't), then bring a bill from SDG&E or another utility (phone, Rainbow Water) that shows the service address of your residence. Sign the form in the presence of the postal clerk or postmaster. After signing the form, you may pick up your keys from me as detailed below.
2.
Remove your old mailbox immediately from the location at the bottom of the road or arrange to have it removed. This will prevent any mix-ups in mail delivery.
3.
Pick up your keys from me, Doug Eaton. You can reach me on my cellphone at 760 213-0189 and schedule a time for pick-up. I will give you three keys to your assigned box. It is important that these keys not be lost, since replacement of keys is time-consuming and expensive.
4.
You will begin receiving mail at your new box immediately on the day following your signing the form at the Post Office in Pauma Valley.
In order to facilitate efficient and safe use of the mailboxes, there are a few things we would ask of you:
1.
Please do not include your new box number in your address. Keep your address exactly the way it is now if you are receiving mail at the bottom of Rancho Heights Road. For those of you who do not have a box at the bottom of the road here is an example of a proper address: Mr. and Mrs. John Doe, 101010 Rancho Heights Rd, Pala CA 92059-1843. All addresses should be written in similar format. No box numbers, please.
2.
Please do not attempt to retrieve mail from your box through your car window. We ask that you get out of your car to open your box. We do not want people opening car doors and slamming them into the boxes or inadvertently hitting the boxes with their vehicle by attempting to get too close to them. There is enough room between the mailboxes and the edge of the road for box owners to park and open car doors on both sides without the doors encroaching on the road or hitting the mailboxes.
3.
When coming up from the gate to retrieve your mail, if there is no one retrieving their mail when you pull up to the boxes, drive past the boxes a car-length or so and then get out of your vehicle. This will provide room for others who might pull in behind you.
You will be able to receive parcels at our new cluster mailbox location. When a package is delivered to you, the mail carrier will put the key to a numbered parcel locker in your personal mailbox. Use the key to open the parcel locker, remove the parcel(s) and close the door. You will not be able to remove the key from the parcel locker door. It is designed that way to keep keys from being lost. The mail carrier will remove the key the next time he delivers mail.
Because the boxes are new and unused, the keys and the locks are a little sticky. Craig Hill and I tested all the keys and they work in each box, but initially you might have some difficulty removing the key from the lock after retrieving your mail and closing the box. If you are right-handed, use the thumb of your left hand to press against the lock cylinder while pulling the key with your right hand. For you left-handers, it's the reverse. After a period of use, the keys should work smoothly in the locks.
The Committee also has reserved a box in our installation and therefore has a new address. Starting in May, all mail addressed to the Committee should be sent to the address printed in the letterhead of this email/letter. The rented box (Box 553) at the Post Office in Temecula where our mail is currently delivered will soon be vacated. Any mail that is accidentally sent there will be forwarded to our new box in Rancho Heights.
One last suggestion: I recommend you keep a copy of this letter in your files for future reference.
On behalf of the ad hoc committee that conceived the project and the Road and Management Committee that supervised construction, I thank you for your participation and support. Our new high-security boxes represent an important improvement in the security, safety and convenience of mail delivery to the Community. If you have any questions feel free to contact me at the phone number listed above or simply reply to this email.

Sincerely,
Doug Eaton, Secretary, on behalf of the Rancho Heights Road and Management Committee as a whole.
